STUDENT EMPLOYMENT FALL 2006

Many new hiring requirements are being implemented this academic year beginning this fall by the IIT Financial Aid Office, International Center, Human Resources and Payroll Services. These changes will hopefully improve the paper processing needed when hiring students to work as research assistants, department assistants, etc.

If you wish to have your current student assistant who worked for you this past summer continue for the fall semester, now is the time to complete a new Payroll Authorization (P/A). The current P/A on file for all students for the summer term expires as of 08/26/2006. A new P/A must be completed with an effective date of 08/27/2006.

The end date can be either:

  • 12/31/2006, which applies to:
    - All International Students who must be hired on a semester-by-semester basis for validation of their work status and government reporting purposes
    - If a student is a December 2006 graduate
    - If you are unsure whether you will retain your student employee for the entire academic year
  • 05/31/2007
    - If you plan to keep the student on for the entire academic year. (note: If you terminate the student's employment before the end of the school year, simply fill out a P/A to terminate the student from your employ)

All students who worked for you over the summer will be taken off payroll on 8/26/06 unless you complete a new P/A to retain them for the fall or academic year.

In addition, during the school year when classes are in session a full-time student can only work a maximum of 20 hours per week. During the holiday break between terms and the week of spring break, students are allowed to work a maximum of 40 hours per week.

The following information explains what paperwork is required based on student status. The requirements differ for students who are US Citizens versus International Students.

US CITIZENS

Rehiring student(s) who are US CITIZENS

Required paperwork:
- P/A (Payroll Authorization)
- Direct Deposit Form (if one is not already on file or if the banking information has changed)

Hiring NEW student(s) who have NEVER worked for the University

Required paperwork:
- P/A (Payroll Authorization)
- I-9, plus required ID's
- Federal & State W-4 's
- Direct Deposit Authorization Form with bank deposit slip attached

The above forms can be obtained from Theda Mickey, Administrative Assistant, Office of Administration and Finance, Suite 265.

NOTE: All Paperwork MUST be completed and submitted to the Office of Administration and Finance, Suite 265 prior to or on the student's first day of employment. For a student to perform a service without proper employment authorization is a violation. Both the individual and the employer are subject to possible sanctions by the Department of Labor and/or the INS.

INTERNATIONAL STUDENTS

MUST BE CLASSIFIED WITH EITHER AN F-1 OR J-1 VISA STATUS AND ENROLLED AS A FULL-TIME STUDENT (9-credit hours or more per semester)

International Students WITH SSN (Social Security Number)

Documents needed to complete employment packet:

Student goes to the IIT International Center with:
- Copy of Social Security Card
- P/A (Payroll Authorization)
- Federal and State W-4's

The IIT International Center completes the I-9 and authorizes the P/A and then forwards all paperwork to the IIT Office of Financial Aid for completion of the process and final data entry.

International Students WITHOUT SSN

Documents needed to complete employment packet:

Student applies for SSN:
- Hiring Department creates employment letter
- Student requests letter from International Center
- Student applies for SSN at 77 W. Jackson, Chicago

Student goes to IIT International Center with:
- SSN application receipt
- P/A (Payroll Authorization)
- Federal and State W-4's
- Direct Deposit Form

The IIT International Center completes the I-9, authorizes the P/A then forwards all paperwork to the IIT Office of Financial Aid for completion of the process and final data entry.

NOTE: International Students MUST NOT begin working for you until this process is completed and approval is given by the IIT International Center.

DISCOUNT PARKING FOR DTC FACULTY, STAFF & STUDENTS: FALL 2006 SEMESTER (Revised 08/21/06)

PRESIDENTIAL TOWERS and IMPERIAL PARKING are continuing the discounted parking for members of the DTC community for the FALL 2006 Semester effective September 1, 2006. Below is the rate information.

Imperial Parking is offering IIT Chicago-Kent faculty, staff and students a parking discount only if a monthly pass is purchased. A parking permit is required to get the discounted rate.

DOWNTOWN CAMPUS SAFETY TIPS

Do not travel alone in public areas, or stand alone at the bus stop, or corner. Keep alert for person(s) following you. Be wary of strangers offering assistance. Don't openly wear or display jewelry or handbags. The Downtown Campus of IIT provides year-round security officer escorts after 5:00 PM weekdays and on weekends.
