SPRING 2008 STUDENET EMPLOYMENT HIRING PROCEDURES (posted 01/17/2008)

REHIRING STUDENTS

If your current student assistant (US Citizen) was hired with a start date of August 2007 or later thru May 31, 2008) and you entered those dates on his/her Payroll Authorization (PA), that PA is still in effect. If that person is no longer working for you, please make sure you put through a new PA marked "termination" to remove him/her from payroll.

If your current student assistant (US Citizen) was hired ONLY thru December 31, 2007 and he/she will continue to work for you after January 1, 2007, you must now complete a new PA for this term with Effective Date: 01/01/2008 or later and End Date: 05/31/2008. If they discontinue working for you anytime prior to 5/31/08, you must issue a new PA marked "termination" to remove him/her from payroll.

If your student assistant is an International Student, a PA must be completed for each term.

RE: CITIZENS
Rehiring student(s) who are US CITIZENS

The above forms can be obtained from Theda Mickey, Administrative Assistant, Office of Administration and Finance, Suite 265.

NOTE: All Paperwork MUST be completed and submitted to the Office of Administration and Finance, Suite 265 either prior to or on the student's first day of employment. For a student to perform a service without proper employment authorization is a violation. Both the individual and the employer are subject to possible sanctions by the Department of Labor and/or the INS.

RE: INTERNATIONAL STUDENTS
HIRING GENERAL ELIGIBILITY REQUIREMENTS

  • F-1 or J-1 must have full-time enrollment
  • Dependents:
    o F-2 Cannot be employed
    o J-2 may be employed with proper USCIS authorization
  • OPT (Optional Practical Training)

International Students WITH SSN
Documents needed to complete employment packet:

Student takes to International Center:

  • Copy of Social Security Card
  • Payroll Authorization
  • Federal and State W-4's

International Center: Completes I-9 and authorizes PA then forwards to Financial Aid:

  • Copy of Social Security Card
  • Payroll Authorization
  • Federal and State W-4's

International Students WITHOUT SSN
Documents needed to complete employment packet:

Student applies for SSN:

  • Hiring Department creates employment letter
  • Student requests letter from International Center
  • Student applies at 77 W. Jackson

Student takes to International Center:

  • SSN application receipt
  • Payroll Authorization
  • Federal and State W-4's
  • Direct Deposit form

    International Center: Completes I-9 with SSN receipt and authorizes PA then forwards PA to Financial Aid.

    NOTE: International Student(s) MUST NOT work until this process is completed and approval is given by the International Center.

RE: GRADUATED INTERNATIONAL STUDENTS

  • NOT ELIGIBLE for on-campus employment (includes TA/RA)
  • If hired for work related to field of study (OPT status) must be processed through Human Resources.

BE SURE THE REQUIRED EMPLOYMENT PAPERWORK IS SUBMITTED BEFORE SOMEONE BEGINS WORKING FOR YOU!!!!

The IIT Policy, along with IRS Regulations, has always required that the proper paperwork (i.e. Payroll Authorization, federal and state W-4s, I-9, and Direct Deposit information) is submitted and approved BEFORE someone begins working for you. Adhering to this policy is particularly critical now since students (or anyone else hired or rehired for that matter) will not be able to record time worked in order to get paid until they are active or reactivated in the IIT On-Line Time Sheet system.

DISCOUNT PARKING: DTC FACULTY, STAFF & STUDENTS FOR SPRING/SUMMER 2008 (Posted 01/18/08)

STANDARD PARKING lot located at PRESIDENTIAL TOWERS is continuing to provide discounted parking rates for members of the DTC community for the Spring/Summer 2008 semesters effective February 1, 2008 through August 31, 2008. Below is the rate information.

Faculty and staff

  • Pick-up the Spring/Summer Semester permit from Theda Mickey, Office of Administration and Finance, Suite 265.

Students

  • Pick-up the Spring/Summer Semester permit from Barnes & Noble Bookstore, C-60.

Standard Parking Lot @ Presidential Towers (rooftop parking only)

Monroe, Jefferson and Madison Streets (Enter on Jefferson)

Chicago-Kent Discount Daily Rate:
*$10.00 per 12-hour day. *MUST be purchased in packets of FIVE (5).

Current Normal Rate: $26.00 per 12-hour day.

Monthly Pass: Not available.

The daily rate will be honored provided you follow these instructions:

  1. Bring your IIT I.D. card
  2. Place your Chicago-Kent parking permit in the lower left front windshield of your car (the permit MUST be displayed at all times when your vehicle is parked in the parking garage).
  3. Payment must be made by credit card, cashier's check or money order. (NO cash or personal checks accepted.)

Downtown Campus Safety Tips

Do not travel alone in public areas, or stand alone at the bus stop, or corner. Keep alert for person(s) following you. Be wary of strangers offering assistance. Don't openly wear or display jewelry or handbags. The Downtown Campus of IIT provides year-round security officer escorts after 5:00 PM weekdays and on weekends.

Reserving a Room at the Downtown Campus

Faculty, staff, students and student organizations can reserve rooms at the Downtown Campus for meetings, study, speaker events, etc. An electronic form is available online. An email will be sent to you confirming your reservation within 24 business hours.
