SUMMER 2008 IIT CHICAGO-KENT STUDENT EMPLOYMENT HIRING PROCEDURES - (posted 13 May 2008)

A new payroll authorization must be completed for all student employees who will continue to work for you after May 31, 2008 (note: this year the "Summer Term" runs from June 1 through August 23, 2008). Payroll authorizations are available in the OFFICE OF ADMINISTRATION AND FINANCE, SUITE 265.

The payroll authorization should be filled out completely listing June 1, 2008 as the "Effective Date" of employment and must be submitted on or before this date. The faculty member or administrator should sign the payroll authorization in the "Department Head" section and have the student submit the form to my office for processing.

It should be noted that for new hires, pursuant to federal law and IIT Policy, the Payroll Authorization and other tax and I-9 forms must be submitted before anyone begins working for you. There have been a few recent cases in which the required paperwork was submitted after the student began working which puts the institution at risk, up to and including possible termination of our federal financial aid. Therefore, please be sure to adhere to this critical policy.

Below lists the criteria for student workers to qualify for "student status" for the summer term:

STUDENT STATUS (use "sub"-Account "6307")

In order for a student to qualify for "student status" under IRS regulations (i.e., exempt from FICA tax), the student must be registered for at least six (6) credit hours during the summer term.

NON STUDENT STATUS (use "sub"-Account "6325")

If your student employee is not registered for at least six (6) credit hours, they are considered a part-time temporary employee. FICA taxes will be taken out of his/her paycheck and the employer FICA match will be charged to your account (the FICA rate is currently 7.65%).

In addition, the student rate will remain at $10.00 per hour.

Please contact the Office of Administration & Finance, Suite 265 if you questions.
