SPRING 2009 CHICAGO-KENT STUDENT HIRING PROCEDURES (updated 1/23/2009)

RE: U.S. CITIZENS

If your current student assistant (US Citizen) was hired with a start date of August 2008 or later thru May 31, 2009) and you entered those dates on his/her Payroll Authorization (PA), that PA is still in effect.

NOTE: If a student is no longer working for you or leaves the position before the PA original end date, complete and submit the existing paper PA for "termination" until this function can be added to the On-line Electronic Student Payroll System.

If your current student assistant (US Citizen) was hired ONLY thru December 31, 2008 and he/she will continue to work for you after January 1, 2009, you must now complete a new PA for this term with Effective Date: 01/01/2009 or later and End Date: 05/31/2009*.

There is a new hiring procedure if you wish to re-hire a current Student Assistant or hire a new student for the spring 2009 semester. All Payroll Authorizations (PA) must now be completed in the Online Electronic Student Payroll System. The University will no longer accept a paper PA for hiring Student Assistants.

  • Faculty - Contact Vince Rivera x65117, vrivera@kentlaw.edu for his assistance to get the hiring process started.
  • Staff - Individual departments are responsible for entering the hiring information.

If your student assistant is an International Student, a PA must be completed for each term.

The following instructions will be helpful for hiring or re-hiring student workers.

REHIRING STUDENTS WHO ARE U.S. CITIZENS

Required paperwork:

  • Online Payroll Authorization completed online by hiring department
    Direct Deposit Form http://www.iit.edu/~controller/automatic_deposits.html (if not already on file or if banking information has changed)

Hiring NEW student(s) who have NEVER worked for the University

The above forms can also be obtained from Theda Mickey, Administrative Assistant, Office of Administration and Finance, DTC 265.

NOTE: All Paperwork MUST be completed and submitted to the Office of Administration and Finance, Suite 265 either prior to or on the student's first day of employment. For a student to perform a service without proper employment authorization is a violation. Both the individual and the employer are subject to possible sanctions by the Department of Labor and/or the INS.

INTERNATIONAL STUDENTS HIRING & GENERAL ELIGIBILITY REQUIREMENTS

International Students WITH SSN

All original hard copies of above paperwork is submitted to the Office of Administration and Finance, DTC 265 to be copied and forwarded to the Student Employment Office, SEO, MC, Galvin Library Upper Level.

International Students WITHOUT SSN

  • Online Payroll Authorization completed online by hiring department
  • The system will send an email containing a letter to the individual who entered the information; the letter must be completed and signed; given to the student who takes it to the International Student's Office, MB 405, for their signature and approval.
  • The student takes the applicable paperwork to the Social Security Administration Office, who will issue a receipt for applying for a Social Security Card. The receipt is taken to the Student Employment Office, SEO, MC, Galvin Library Upper Level

NOTE: International Student(s) MUST NOT work until this process is completed and approval is given by the International Center.

GRADUATED INTERNATIONAL STUDENTS

  • NOT ELIGIBLE for on-campus employment (includes TA/RA)
  • If hired for work related to field of study (OPT status) must be processed through Human Resources.

STUDENT ON-LINE TIME ENTRY

Time entry is conducted through IIT's on-line time entry for all students and staff. Instructions for Web Time Entry can be found at: http://www.kentlaw.edu/students/student-timesheet-instructions.pdf. Please print out this "Timekeeping Manual" for student workers so that you have it as a reference for each pay period you will need to enter time worked on-line.

If you have any problems accessing the myIIT portal, please contact IIT OTS Support Desk at 73375.

DISCOUNT PARKING FOR DTC FACULTY, STAFF & STUDENTS FOR 2009 SPRING/SUMMER SEMESTERS (Revised 02/27/2009)

INTERPARK, INC. located at 525 W. Monroe (entrance on CLINTON between Adams and Monroe) is also offering discounted parking rates $13 per 12-hour day for members of the DTC community. The discount becomes effective, Monday, February 9, 2009.

STANDARD PARKING located at PRESIDENTIAL TOWERS continues to provide discounted parking rates $12 per 12-hour day for members of the DTC community.

Faculty, staff and students who wish to take advantage of the parking discounts may pick up the parking permit for the 2009 spring/summer semester from:

    3. Payment must be made by credit card, cashier's check or money order. (NO cash or personal checks accepted.)

Downtown Campus Safety Tips

Do not travel alone in public areas, or stand alone at the bus stop, or corner. Keep alert for person(s) following you. Be wary of strangers offering assistance. Don't openly wear or display jewelry or handbags. The Downtown Campus of IIT provides year-round security officer escorts after 5:00 PM weekdays and on weekends.

Faculty, staff, students and student organizations can reserve rooms at the Downtown Campus for meetings, study, speaker events, etc. An electronic form is available online. An email will be sent to you confirming your reservation within 24 business hours.
