Mail Policy for Student Organizations

The Office of Alumni Relations can publicize your organization's event by sending targeted email and mail invitations to alumni. We can also include your organization's event in our e-newsletter, which is sent monthly to over 5000 alumni.

Specialized, Targeted Email or Mail Invitation

The Office of Alumni Relations will send an email or mailing to alumni on behalf of a student organization under the following auspices:

  • The email or mailing must be requested by an official student organization. If the student organization has not been recognized by the Dean of Students, a faculty or staff member must submit the information.
  • Email requests must be received at least 3 weeks in advance of the date on which to send the email.  For events requiring RSVPs, the Office of Alumni Relations suggests an email be sent at least 2 weeks in advance of the event; thus, plan to allow at least 5 weeks of time before the event to request an email. (For example, if your event takes place October 15 and want to allow time for RSVPs, please submit your email request to the office of Alumni Relations by September 1).  
  • Mailing requests must be received at least 6 weeks in advance of date you would like the mailing to go out. For events requiring RSVPs, the Office of Alumni Relations suggests mail be sent at least 3 weeks in advance of the event; thus, plan to allow at least 2 and a half months of time before the event to request a mailing.
  • Mailing requests are offered to student organizations on a very limited basis. Mailing requests will only be filled for events that demonstrate a significant benefit to alumni.
  • The event must be law-school related and involve one of the following topics:
    • Continuing Legal Education
    • Lectures or Professional Events
    • Networking or Social Events
    • Fundraising (Please Note: Events with a fundraising focus must be requested in conjunction with support of the Development Office.  View the Fundraising Policy.)
  • Once a request has been approved, the student representative should send full and complete text or event information to alums@kentlaw.edu at least one week in advance of when email will be sent. Or, at least four weeks in advance of when mailing should be sent.  
  • All emails are sent in the Chicago-Kent Alumni Association E-mail template (see sample e-mail). You may include images and organization logos in your e-mail. Images should be emailed to alums@kentlaw.edu.
  • It is your responsibility to adhere to dates listed to successfully have your email or mail sent.

Monthly Alumni E-newsletter

  • The Office of Alumni Relations can publicize your organization's event in our e-newsletter, which is sent monthly to over 5000 alumni. (View sample e-newsletter.) The Alumni E-Brief is sent on the first of the month, excluding June/July when a combined email is sent in late June.
  • Requests for event listings in the E-newsletter must be submitted by the 15th of the month prior to when the e-newsletter goes out . (For example, if your event is October 15, and you wish it to be listed in the October e-newsletter, information on the event should be submitted by September 15).
  • Events involving religious holidays or other religious events cannot be advertised in the e-newsletter or through email from any party officially representing the law school.
  • It is your responsibility to adhere to dates listed to successfully have your item in the e-newsletter.
