Student Organization Record Information

The following is a letter distributed to student organization presidents regarding Record announcements. Please also check out the general procedures page.

NOTE: Please contact the HelpDesk (e-mail; phone 906-5300) for information about your organization's Record Web page and the training session that the Center for Law and Computers will host on Friday, September 14, at 1:00 p.m.

Dear Student Organization President,

I'm writing to let you know about the procedures for placing announcements in Chicago-Kent's online newsletter, The Record. Each student organization is responsible for posting its own announcements to the Web-based Record. The Office of Public Affairs provides a template document for creating Record Web pages, and the Center for Law and Computers provides training for members of student organizations on how to post announcements to the Web.

This year, a training session will be offered on Friday, September 14, at 1:00 p.m. (lab location to be announced in the Record). Training will take about one hour and is necessary only for members who do not already know how to create Web pages. If your organization already has members who create Web pages, they need only contact the HelpDesk (e-mail to learn where the Record template is on the Web server and to discuss file naming conventions and the upload procedure for your organization. To sign up for the training session, e-mail HELPDESK or call 906-5300.

Prior to the September 14 training session, you may submit your organization's complete Record announcements to the Office of Public Affairs for posting online. Just e-mail your announcements to by 5:00 p.m. on Wednesdays. Student organization announcements submitted this way will be compiled on one general student organization Record page. Public affairs will continue to compile full Record announcements for student organizations up to and including the September 17 issue.

Beginning with the September 24 Record issue, each student organization will assume responsibility for posting its own announcements, and public affairs will begin posting only headlines with links to student organization Record pages. Please note that the deadline for submitting headlines for the September 24 issue is Thursday, September 20, at noon. The main Record headline page will include a link to your organization's page only if your organization submits headlines for a particular week.

On the attached page, you'll find a set of general procedures for posting to The Record. You can also find these procedures online by following the link near the student organization section of the main Record page. It is critical that you comply with the deadlines: To post an announcement to The Record for any given week, e-mail a short, descriptive headline describing your announcement to the Office of Public Affairs by noon the preceding Thursday, and make sure you upload your organization's actual announcement to the Web server by noon the preceding Friday.
